social media + communication policy

Embody + Mind Collective, PLLC
At Embody + Mind Collective, we are committed to maintaining your privacy and protecting the integrity of the therapeutic relationship—both in and outside the therapy room. This policy outlines our approach to digital communication, including email, text, and social media, to help clarify what you can expect and how to stay connected safely.

Email & Phone Communication
We understand that some administrative communication may happen outside of session, and we want to ensure it happens in a secure and respectful way:
  • Email and voicemail may be used for scheduling, billing, or logistical matters only. These are not appropriate channels for therapeutic conversations or urgent issues.
  • Our practice uses HIPAA-compliant email systems to help protect your privacy.
  • Text messaging may be used only for brief, non-clinical communication (e.g., confirming an appointment). Please know that standard text messages are not secure and may not be protected under HIPAA.
  • If you are experiencing a crisis or emergency, please call 911 or go to your nearest emergency room, as our team cannot guarantee immediate response outside of business hours.

Social Media Use
  • We maintain an active presence on social media for outreach, education, and community-building—but we keep clear boundaries to protect your privacy and the therapeutic process.
  • We do not accept friend or follower requests from clients on personal social media accounts. This maintains ethical boundaries and protects confidentiality.

You are welcome to follow our professional Instagram account (@embodyandmindcollective) if you wish to stay informed about events, resources, and offerings.

Please note:
  • The content shared on our Instagram is not a substitute for therapy.
  • It is not managed by your therapist and does not reflect your personal treatment plan.
  • Direct messages (DMs) are not HIPAA-compliant and should not be used to share personal or clinical information.
  • DMs are not actively monitored and may not be seen or responded to for several business days.
  • We do not provide clinical advice or support through social media. If you have a question about your care, please reach out through secure and appropriate channels.

Online Reviews & Testimonials
We appreciate when people find our work meaningful, but we cannot request or respond to online reviews from clients. This is to avoid dual relationships and protect your confidentiality, in line with professional ethics.

If you have feedback, concerns, or praise, we encourage you to speak with your provider directly or contact our leadership team.

Searches & Digital Boundaries
We do not search for, follow, or “Google” clients. We believe that therapy works best when it is centered on the information you choose to share in session.

Questions or Concerns?
If you have any questions about how we use social media or digital tools, please don’t hesitate to reach out or bring them into a session.

We are committed to offering support that’s safe, respectful, and aligned with your therapeutic goals.
